This Privacy Policy explains how Nautifuel Ltd (“Nautifuel”, “we”, “us”, or “our”) collects, uses, shares, and protects personal data when you visit nautifuel.com (the “Website”), submit a bunkering or contact request, or otherwise communicate with us in connection with our marine fuel procurement and yacht operational coordination services (the “Services”).

We are the data controller responsible for your personal data. We process personal data in accordance with the EU General Data Protection Regulation (Regulation (EU) 2016/679, “GDPR”) and the Cyprus Law Providing for the Protection of Natural Persons with Regard to the Processing of Personal Data (Law 125(I)/2018).

02The personal data we collect

Information you provide

When you complete a bunkering request or contact form, message us by email or WhatsApp, or speak with an advisor, we may collect: your name, company or role, email address, telephone/WhatsApp number, vessel name and details, location, fuel requirements, timing, and any other information you choose to share about your operation or enquiry.

Information we collect automatically

When you use the Website we may collect technical and usage data such as IP address, browser and device type, pages viewed, and referring source, through cookies and similar technologies. See section 6.

03How and why we use your data

We use personal data on the following legal bases under Article 6 GDPR:

04Who we share your data with

To deliver the Services, we share only the information necessary to fulfil your request with:

  • Fuel suppliers, traders, physical distributors, barges, terminals, port and local agents — to obtain quotes and coordinate the supply, delivery, and documentation of fuel for your vessel.
  • Service providers that support our operations, such as website hosting, IT and communications platforms (including messaging services such as WhatsApp), analytics, and professional advisers (legal, accounting, insurance), acting under appropriate confidentiality and data-processing terms.
  • Authorities, regulators, or third parties where required by law, to comply with legal process, or to protect our rights, safety, or property.

We do not sell your personal data.

05International transfers

Because we coordinate procurement across the Mediterranean, Caribbean, Middle East, Asia, and the United States, your data may be transferred to and processed in countries outside the European Economic Area (EEA) that may not provide the same level of data protection. Where we do so, we rely on an adequacy decision of the European Commission or put in place appropriate safeguards such as the EU Standard Contractual Clauses. 07How long we keep your data

We retain personal data only for as long as necessary for the purposes described above, including to provide the Services, maintain business records, and meet legal, tax, and accounting obligations. Enquiry and request data is typically kept for 24 months after last contact, and contractual, tax, and accounting records for 6 years, in line with Cyprus statutory record-keeping requirements. When data is no longer needed, we securely delete or anonymise it.

08How we protect your data

We apply appropriate technical and organisational measures — including access controls, encryption in transit, and confidentiality obligations on our team and providers — to protect personal data against unauthorised access, loss, or misuse. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

Subject to the conditions in the GDPR, you have the right to: access your personal data; request correction of inaccurate data; request erasure; restrict or object to processing; request data portability; and, where processing is based on consent, withdraw that consent at any time. If you believe we have not handled your data properly, you have the right to lodge a complaint with the Cyprus supervisory authority, the Office of the Commissioner for Personal Data Protection (dataprotection.gov.cy), or with the data protection authority in your country of residence.

The Website may link to third-party sites or services that we do not control. This Policy does not apply to those sites, and we are not responsible for their privacy practices. Please review their policies before providing personal data.

Our Website and Services are intended for business and professional users and are not directed to children. We do not knowingly collect personal data from anyone under 16.
